What is company file activation? MYOB has developed the company file activation process to protect against potential piracy and provide you with the reassurance that you are using an authentic product that can be trusted with your valuable business data. This process will also take you through registering your MYOB software, if it's not already registered. You can choose to activate your company file either online or via the MYOB automated telephone process.

Is activation the same as product registration? What information is sent to MYOB when activating a company file? When you register your software, a record is added to our database that contains your basic contact details and program licence details, including your product serial number.

My accountant or consultant will create my company file and provide it to me. Who should activate the company file? An accountant or consultant can create a company file on your behalf and provide it to you. However the accountant or consultant must not activate the company file using their serial number.

File activation can be performed up to 90 days from the date the file was created, so there is plenty of time for them to provide you with the file to activate yourself. Should I activate ALL my company files? You should only activate your current company files - the files into which you are still entering data. If you have upgraded company files from prior years or have restored and upgraded older-version backup files, do not activate them unless you need to continue entering data into them. If you need to restore and upgrade an old company file to view historical information only, choose the 'I want to activate my company file later' option when opening the file, until the file goes into read-only mode. I have already activated my company file, why am I being asked to activate again? Once you have activated your company file, the Activation message will only reappear when you upgrade your company file or when you open another company file that has not yet been activated.

Before activating a company file, check that it is your most current file: • Open your company file. • Select the 'I want to activate my company file later' option in the Activation window. • Browse the transaction journals to locate the date of the last transaction entered. • If it appears to be your most current company file (not a company file from a previous year or a restored backup file), activate it by going to the Help menu and choosing Activate Company File. I have activated the maximum number of company files my MYOB product licence allows.

This ID is stored in the company file and in MYOB's own activation database. Your MYOB product licence allows a limited number of company files to be “active” at any point in time. Only company files into which you enter new information should be activated. Unless you request to have the file deactivated, it will be considered 'active' and will have an active company file ID.

Download the for more information about deactivation process and to complete your request. Please Note – The deactivation process is permanent.

When a company file is deactivated, it will be permanently set to read only mode. In read-only mode you can view, print and export transactions and reports; however you cannot enter new records or transactions. If you have any queries regarding the deactivation process, please contact MYOB Customer Service on 1300 555 151.

MYOB Accounting now requires product activation. That's OK, I believe companies have the right to protect their software. However it is not the program you activate - its the data! And you are only allowed 5 (10 if you beg) data files.

So this is the first time (to my knowledge) that the data, created by the user, needs to be licensed (yes activation in this matter is a licence). Something like if Microsoft said you were only allowed to create 200 spreadsheets (and you need to tell us what you are creating), any more and they become read only (generous right). Well I think it stinks, and is a dangerous precedent. And totally unnecessary. So this thread is to gather ideas (if anyone agrees with me), to put pressure on MYOB to relent on this. Though I cant see any other software manufacturer being silly enough to take this route, I never dreamed MYOB would be either.

Karcher Vaporapid 1501 Manual Transmission. Actually they have form. Another one of their products, RetailManager, went through an upgrade (version 5 to 6 from memory) where they took functionality away! They released a more expensive product with these 'extras' (Support for various hardware) included. I suppose no one would be much surprised to know that the upgrade to 6 to 7 added these back. (Some upgrade path that was - and expensive as well).

The more expensive product has been quietly dropped. Of course most clients bulked as such a generous upgrade path. And MYOB reduced the price for this from $600 to $200 (They should have paid the customer).

All this is a pity. MYOB products are very good, the company is shocking. They used to be great, is it the fact that they are a listed company now? Myobman writes. Something like if Microsoft said you were only allowed to create 200 spreadsheets Most software is time limited until it is registered. Cant see much difference.

There is other accounting software around that has restrictions (number of transactions or cant print) until the datafile is registered. There must be some limitation. You need to tell us what you are creating This info isnt required by MYOB when you register. Only serial and company file code. I think the amount of MYOB customers that will need more than 5 data files will be very small. From my experience, most users have a single datafile.

Some have 2 or 3 because they may decide to do their personal accounts as well. Maybe professional bookkeepers may have their noses put out of joint if they service many customers on one MYOB program. I guess the options there are not to upgrade or to obtain more licences and pass the cost on.

I dont really have a problem with it. MYOB isn't great. I remember working for an accountant-turned-programmer a year or so ago, who wanted me and a mate to export a client's MYOB data to a normal database (in this case Access).

After a bit of stuffing about with MYOB's provided ODBC (stuffing about because the drivers required separate registration or something, the details escape me - suffice to say if you want to know our 'workaround' it's probably best you Whim me), we got it all transferred. And after about a week of perusing the data we threw at him, he came back and said he'd always suspected there were inaccuracies in MYOB's internal calculations, and now he'd actually found them.

Wish I'd asked him for more info - and had the capacity to understand it if I had. Programming I can understand, but I suck at accounting:-/ On a different note, I'd suggest looking into a package called 'Bottom Line Accounting.' Their user-interface looks extremely unpretty (from memory, at least), but according to a couple of people who have used both, it's a far more intuitive interface than MYOB. Like I said, though, I suck at accounting, so I can't offer personal experience - only going by what I've heard. Ernal writes. Most software is time limited until it is registered.

Cant see much difference This is limited after it is registered. I have no problem with activation of the product, I have a problem with registering (activating) the data created by the product. And I might point out that you will periodically have to activate it - this is not a once only thing. So (if you are not on the net - or you have lost your serial number (supplied on a covering letter), you will have to phone.

Yep periodically. This is not like Excels time expiry thing - I thought I was clear. (Though they have that as well of course) I am a very small business person.

However I have more than 5 files, as I do a little contracting. Remember you have 2 per client (not 1). And that file may be on 2 or 3 machine (There office, there home, my home. If this is to annoy bookkeepers then I cannot see the reason for this. The success of MYOB is because there are people around that can actually use it, why take away the ability of me to do books for a few farmers. Because I charge about $400 a year to reconcile and do the Bas's for various clients - stuffed if I am going to spend huge amounts buying more licences - I will just drop those clients.

I am familiar with the weaknesses of MYOB. If you want to discuss how MYOB can get it wrong, you are welcome to start a new thread.

It is impossible or very impractical for people to swap accounting systems. Their accountants will have an interest (some make commission on flogging certain unnamed systems), or a preference. As many accountants use MYOB, you can be sure it is accurate. Of course the people who enter data can make the most horrendous mistakes on occasions. ColdRain writes.

I think I've just knocked MYOB off my list, for this and another reason - I've seen it to be very sluggish when a data file is used by several people over a network. I've got premier and i've registered for 5 users. Haven't really noticed this problem. Like someone mentioned, its very rare to have 2 or more users trying to access the same file at one time. Only real gripe is sometimes, errors occur when converting old data files to new versions.

I've had this problem occur more than 2 times, and with the frequency MYOB do release new versions, the amount of converting old data files gets a bit tedious. Especially for LARGE data files. I back up my files everyday, but trying to validate & then backup a 100meg file takes a long time.

I've also used MYOB accounting, and i've found it to be very easy to use, especially for beginners. I recommended this product to a lot of my mates who all have small businesses and no prior experience in accounting software. So far, no complaints. There are some 'internal' calculation errors, but MYOB seem to rectify these problems fairly quickly (eg. They had a superannuation calculation error last year with MYOB 7, and i recieved an update a week after i recieved the program).
